DDQX Learning Institute, Inc.

Privacy Policy

Last updated: September 30, 2026

How DDQX Learning handles information provided through its website, educational assessments, reports, coaching, tutoring, courses, and communities.

Who we are

DDQX Learning Institute, Inc., a Delaware C-corp doing business in Arizona, provides educational services through ddqxlearning.org and related learning experiences. We also use the name DDQX Learning. In this policy, “DDQX,” “we,” “us,” and “our” refer to DDQX Learning Institute, Inc.

For privacy questions, contact info@ddqxlearning.org or call 480-648-4049. Use the subject “Privacy Request” for requests concerning your information. Our mailing address is:

PO Box 416
3324 E. Ray Rd
Higley, AZ 85236

This policy covers information we handle for our own educational and business purposes. A separate written institutional agreement may govern information processed solely on an institution’s behalf. Independent third-party websites and services have their own privacy notices.

Information you provide

Contact and account information. We collect information such as your name, preferred name, email address, telephone number, account details, and communication preferences when you submit it through an inquiry, registration, purchase, or service intake.

Educational and application information. Depending on the service, this includes your training stage, academic history, practice scores, study resources, schedules, goals, questionnaire responses, application drafts, experiences, program preferences, and materials submitted for review. We also create reports, educational ratings, recommendations, and service notes from that information.

Purchases and participation. We collect the service selected, payment status, transaction references, billing information supplied at checkout, appointment details, attendance, relevant learning activity, and support communications. For Discord-based services, we collect the Discord username and identifier needed to connect your purchase with access.

Additional submissions. Scholarship applications, testimonials, feedback, and accessibility requests contain the information you choose to provide. Personal statements and other open-text submissions may reveal sensitive personal circumstances. Include only what is reasonably necessary for the requested educational service.

Information collected through website use

Our website and supporting providers can receive technical information such as an IP address, browser and device information, requested pages, referring pages, approximate location derived from an IP address, error records, and security logs. Cookies and related technologies support functions such as sessions, forms, payments, preferences, and embedded content.

The Cookie Policy and Preferences page explains these technologies and available controls. Public comments or community contributions, when enabled and used, may be visible to other participants or visitors.

We obtain information directly from you, from your interactions with our services, and from providers that process your payment, deliver a service, or provide information you have authorized them to share. We do not require another person’s confidential records to provide ordinary educational support.

How we use information

We use information to respond to inquiries; process purchases; connect learners with purchased access; schedule and deliver sessions; evaluate submitted evidence; prepare Personalized Score & Strategy Reports; support learning and account administration; and communicate about the services you request.

We also use relevant records to troubleshoot problems, maintain security, prevent fraud and misuse, resolve disputes, meet legal obligations, and improve the relevance and delivery of our educational resources.

Promotional messages are handled according to your choices and applicable law. An unsubscribe request stops the relevant marketing messages, but does not stop necessary receipts, service updates, appointment communications, or security notices.

This policy does not grant permission to publish your private application materials, sell your learner reports, or use identifiable submissions for unrelated AI-model training. A materially different use requires an appropriate notice and a lawful basis before it begins.

The White Coat Diagnostic and individualized reports

The White Coat Diagnostic uses your selected stage and answers to identify a likely educational bottleneck and recommend a DDQX pathway. Results are displayed after submission and sent by email. Submissions are also logged in a connected Google Sheet for review and follow-up by Dr. Deason and the DDQX team.

The automated diagnostic is an educational starting point. Submitting it does not guarantee an individual expert review or create a coaching relationship.

For a purchased Personalized Score & Strategy Report, a DDQX expert reviews and approves the finished interpretation and recommendations. Information processing may include structured tools and AI-assisted workflows. Our AI Use and Automated Processing Disclosure explains the distinction between automated results and expert-reviewed work.

Providers and information disclosures

Website hosting and forms. The website uses Bluehost hosting, WordPress, Elementor, and WPForms to display content and receive submissions. Website administrators and authorized technical support may access relevant records to operate and maintain the service. Using a software product does not, by itself, mean its developer receives every form entry.

Payments. Stripe handles card information entered in our Stripe-enabled payment fields. DDQX receives the transaction and customer information needed for order processing, reconciliation, support, and refunds. The Stripe payment field is designed to process the card without storing the complete card number or security code in the WordPress form entry. Do not email complete card details to DDQX.

Google Sheets and operational services. Diagnostic submissions are logged in Google Sheets. Depending on the purchased service, authorized email, document-storage, scheduling, video-meeting, learning-platform, and workflow providers also process the information needed to deliver that service. The relevant service interface or communications identify the tools used for your interaction.

Community and embedded platforms. Discord supports services delivered through Discord. Embedded YouTube videos and other third-party content can communicate with their providers when loaded or used. Those providers may also process information under their own privacy notices.

AI providers. An external AI service used for learner information must be addressed in the applicable intake or written service notice, including the provider, purpose, information involved, and relevant retention or training terms. General references to AI do not establish identical settings across providers.

Other disclosures. We may disclose information with your authorization; to satisfy a legal obligation or valid legal process; to protect rights, safety, and security; or in connection with a business transfer subject to applicable protections. Personnel and service providers receive information relevant to their responsibilities.

Confidentiality, sponsors, and recordings

Do not submit patient-identifying information, unauthorized medical records, confidential examination questions, another person’s passwords, or institutional materials you are not permitted to disclose. DDQX’s ordinary educational services are not a channel for transmitting patient records or obtaining treatment.

A parent, employer, school, or other sponsor paying for an adult learner’s service does not, by payment alone, receive permission to access that learner’s reports or private communications. Any authorized reporting arrangement should be agreed upon before the service begins.

Some tutoring offerings include session recordings. Before a DDQX recording or transcription begins, we explain its educational purpose and obtain the notice and consent required for that session. Access is limited to the participating learner and people supporting the service unless a separate permission or legal requirement applies. Public or promotional use requires separate authorization.

Ask before the session about recording availability, retention, access, or a non-recorded alternative. Do not assume a recording remains available indefinitely.

Retention and deletion

We determine retention by the purpose of the record, the duration of the learner relationship, the need to deliver purchased work and included revisions, applicable accounting and legal obligations, security needs, and any unresolved complaint or dispute.

Inquiry records are retained while responding and handling relevant follow-up. Account and learning records are retained while supporting account access and the related service. Submitted materials, reports, and service notes are retained for delivery, authorized follow-up, and resolution of service issues. Financial records are retained for legitimate accounting, tax, and transaction obligations.

Recording access follows the purchased service and the notice given for that recording. Marketing preferences and limited suppression records may be retained to respect an unsubscribe request. A preservation obligation or active dispute may require longer retention of relevant records.

You may request deletion before our ordinary retention purpose ends. We will explain any lawful reason to retain particular information. Deletion from live systems may not immediately remove copies in backups or records controlled independently by a third party; retained copies remain subject to applicable restrictions. This policy does not promise a single deletion deadline for every provider or record type.

Security and processing locations

We are responsible for applying reasonable safeguards appropriate to the information and services involved, including managing access and using appropriate protections for transmission, storage, and service administration. No website, email channel, or storage system can be guaranteed completely secure. Contact us promptly about suspected unauthorized access or disclosure.

DDQX is based in the United States. Supporting providers may process information in the United States and other countries. Where applicable law requires additional protections for an international transfer, those protections must be in place before the transfer. Acceptance of this policy is not blanket consent to an otherwise restricted transfer.

Contact us for information about the providers, destinations, and safeguards relevant to your service.

Your choices and privacy rights

Depending on your location and the law that applies, you may have rights to access, correct, delete, or receive a copy of your information; withdraw consent; restrict or object to processing; appeal a denied request; or opt out of sale, sharing, targeted advertising, or certain automated decisions.

Visit Privacy Choices and Data Requests or email us to make a request. We use proportionate verification where necessary and do not require an account merely to request help. We do not unlawfully discriminate against people for exercising their rights.

Browser privacy signals and advertising-related requests are addressed on the Cookie Policy and Privacy Choices pages. The availability of a request category does not mean DDQX performs every activity covered by that category.

Additional information for EEA and UK users

Where European Economic Area or United Kingdom data-protection law applies, DDQX acts as controller for the information it handles for its own service and business purposes.

We rely on performance of a contract or steps requested before a contract for purchases, service intake, delivery, and support; legal obligations for required records and compliance; legitimate interests for proportionate security, fraud prevention, service administration, and improvement; and consent for optional processing that requires it. We consider the effect on your rights when relying on legitimate interests.

Do not submit special-category information unless necessary and specifically requested through an appropriate process. Where additional consent or another legal condition is required, the relevant intake must address it separately. Withdrawing consent does not affect the lawfulness of earlier processing.

You may complain to your competent data-protection authority. Contact us about applicable transfer safeguards or automated processing. A general educational recommendation does not determine your admission to an institution, professional license, or official examination eligibility.

Age requirements and policy changes

Service accounts, assessments, and purchases are intended for learners aged 16 and older. Learners who have not reached the age of legal majority need guardian authorization as described in our Children and Age Policy. Contact us about information submitted by an ineligible child so we can investigate and take appropriate action.

We update this policy when our practices change. The date on this page identifies the version. Material changes receive additional notice or consent where required. A revised notice does not, by itself, authorize a new use that requires separate permission.
