AI Use and Automated Processing

Last updated: September 30, 2026

Where DDQX uses automated educational workflows, what expert review means, and how to ask about the handling of your information.

AI-supported work and rule-based automation

DDQX Learning Institute, Inc., a Delaware C-corp doing business in Arizona and operating as DDQX Learning, uses structured technology and may use AI-assisted workflows to organize submitted information and support educational analysis. Depending on the service, this can include summarizing evidence, helping structure a draft explanation, or supporting preparation of educational materials.

Automation does not always involve generative AI. A form that shows different questions based on your stage, calculates a result, or routes you to a resource can use predetermined logic. This distinction matters because the output and information handling depend on the tool actually used.

How the White Coat Diagnostic works

The White Coat Diagnostic first asks about your stage in the White Coat Journey, then presents questions relevant to that stage. Your responses and support preferences inform an educational result identifying a likely bottleneck and a recommended DDQX pathway.

The result is displayed after submission and sent by email. The submission is also logged in a connected Google Sheet for DDQX review and follow-up. Submitting the diagnostic alone does not guarantee individualized expert review.

The recommendation helps organize a next step. It does not diagnose a medical or psychological condition, establish a disability, determine professional competence, or decide admission to an institution or eligibility for a license or examination. You may choose a different resource or ask DDQX to discuss the result.

Human review of Personalized Score & Strategy Reports

A finished Personalized Score & Strategy Report is reviewed and approved by a DDQX expert who is responsible for its final interpretation and recommendations. Structured tools or AI assistance do not replace that promised review.

A report considers the evidence supplied for its purchased scope. Educational ratings may concern performance, writing, readiness, competitiveness, evidence, or fit. They are not official institutional ratings, reliable individual admission probabilities, or guaranteed outcomes.

Other automated features should not be assumed to receive the same review. A service description must identify when an output is automated or when individualized expert review is included. An interactive AI feature must be identified as automated rather than presented as a human educator.

Information sent to external AI services

AI-supported analysis can involve the information relevant to the requested work, such as questionnaire responses, study plans, score information, application materials, or a draft explanation. Do not submit patient-identifying information, confidential examination content, passwords, or materials you lack authority to share.

Before identifiable learner material is routed to an external AI service, the applicable intake or written service notice must identify the provider, purpose, information involved, and relevant handling terms. Where required, DDQX must obtain separate consent or provide an appropriate choice before that processing begins.

Provider identity, processing location, retention, account settings, and use of inputs or outputs for model training can differ by product and account. This disclosure does not promise zero retention or identical no-training settings across all third-party AI products. Ask for the service-specific information before submitting sensitive material.

Accepting the Terms does not grant permission for unrelated model training or publication of private submissions. DDQX’s handling of personal information remains subject to the Privacy Policy, the relevant service notice, and applicable law.

Limitations and responsible use

AI-supported outputs can contain incorrect facts, inaccurate or nonexistent citations, missing context, inconsistent reasoning, or bias. Human review can reduce some risks but does not guarantee correctness.

Verify information that affects an important decision, particularly clinical information, official deadlines, eligibility requirements, institutional rules, and application restrictions. Do not use an educational output as individualized medical advice or a substitute for required supervision.

Using DDQX assistance does not change your obligation to follow academic-integrity and authorship rules. Your final work must accurately represent your experiences and comply with the rules of the receiving institution or organization.

Review, corrections, and alternatives

Email info@ddqxlearning.org with the subject “AI Review Request” to ask how automation contributed to a service, identify an error, or request human review.

Include the service or result, the information you believe needs review, and the reason. DDQX will explain the available review or correction process. A new evaluation based on substantially changed evidence may be a new service; correcting an error within the purchased scope is a different matter.

Ask before purchase about an alternative workflow. An AI-free alternative is available only when confirmed for the relevant service. Any review, objection, or opt-out right required by law applies regardless of whether an alternative is ordinarily offered.

If automation is introduced for a materially different purpose, such as determining eligibility for a DDQX service or scholarship, the relevant notice, legal basis, safeguards, and required choices must be addressed before that use begins.
